Define the exhibition
A useful brief explains what the stand must do, not just how it should look. Start with the exhibition name, venue, city, dates, hall and stand number. Attach the measured floor plan, identify open sides and include the organiser’s technical handbook.
Explain your brand and objectives
Describe your industry, audience, main products and participation objectives. A product launch, distributor meeting and live demonstration may need different layouts. Share the logo, brand colours, graphic files and reference projects, including what you like or want to avoid.
Describe products and spaces
List product dimensions, weights and display quantities. Explain how visitors should examine or try them. Define reception, meeting, storage and hospitality needs, with screen, lighting, power and connectivity requirements.
Set the approval process
Identify the people who approve the layout, materials and graphics. Share the event’s submission and installation dates. Agree which design and production files form the approved reference, and record changes in the current project version.
Include future use
If you exhibit regularly, discuss ownership and reuse when choosing the system. Share existing component information and previous stand photographs. Define dismantling, packing, storage and adaptation needs alongside the initial design.
